Fines & Payments  

Fines may be paid in person via TrentU Card, debit, Visa, and Mastercard at Bata Library Service desk during operating hours.  

Credit card transactions are also accepted online through Trent Marketplace and via telephone during operating hours by calling 705-748-1011 x7423.

Fines of $4 per day apply on items not returned within 7 days after a recall, up to a maximum of $56; after 14 days, they are considered "lost" and a replacement charge of $125 is charged.

There are no daily overdue fines, as long as the book is not recalled. 

Suspension

Borrowing privileges are suspended when:

  • A recalled item is overdue
  • Fines and fees owing exceed $20

Refunds For Found & Paid Item "Lost Item Replacement" Fees

If you have paid a Lost Item Replacement Fee, and you find the item within 1 year of payment and wish to pursue a refund, please return the book to the Library and reach out to us at library@trentu.ca to discuss. 

Refund requests are not guaranteed to be approved.

Refund requests will be discussed with the Manager of Library Services and will take into consideration:

  • the length of time since payment (max. 1 year)
  • the condition of the found item
  • whether a replacement has already been purchased and/or processed
  • any other contextual details surrounding the initial fine and payment

Refunds For Found & Paid Item "Lost & Replaced" Fees

Unlike Lost Item Replacement Fees above, "Lost & Replaced" paid fees are non-refundable. This fee is applied after direct communication to alert you to this fee and is noted as being non-refundable.

If you have paid a "Lost & Replaced" fee after having been contacted by our staff, and you find the item, you are ineligible for a refund.

Fines Appeal Procedure

We encourage you to discuss your situation with Library Service Desk staff at the Library where the fine originated before submitting your appeal.  If you still feel the matter has not been satisfactorily resolved, you may appeal the fine within 120 days of the fine assessment.  To appeal a fine, please submit an email to library@trentu.ca explaining the appeal request and reasoning.  Fines of less than $100 will be assessed by the Library Services Desk and Fulfillment Coordinator.  Fines greater than $100 will be discussed with the Manager of Library Services.    

Note that the following reasons and fine types are ineligible for appeal:  

  • lack of familiarity with borrowing policies  
  • not renewing by the due date  
  • inability to renew online  
  • due dates which fall while the user is on vacation, or out of the local area  
  • fines accrued more than 120 days from the initial notice of fines assessment  
  • previously paid fines  

The Library's mission is to support teaching, learning and research at Trent. Therefore, at the discretion of Library Services staff, you may be permitted to borrow material while you await a response to your appeal.    

You will be notified of the decision within ten (10) business days.  

Fines Information

Fines and fees vary depending on the material:

Books, annuals and journals in the general stacks collection may be borrowed for 120 days and renewed online via Omni.

Fines

  • There are no overdue fines on general collection material that has not been recalled
  • $4 per day apply on recalled items up to a maximum of $56
  • After 14 days, recalled items are considered lost and a replacement fee of $125 is charged
  • Books not returned or renewed within 30 days of their due date are considered lost and a replacement fee of $125 is charged
  • Lost item charges are waived when lost items are returned

Books on current course reading lists have short term loan periods to ensure equitable access for all students. 

Most short term loan items circulate for 4 days with a maximum of one renewal.

Fines

  • $4 per day up to a maximum of $56

The Bata Library's Curriculum Collection is restricted to students enrolled in School of Education programs. 

Curriculum Collection material may be borrowed for 14 days with renewals up to a maximum loan period of 60 days.

A maximum of 8 Curriculum Collection items can be borrowed at a time.

Fines

  • $4 per day on recalled items not returned within 7 days, up to a maximum of $56
  • After 14 days, recalled items are considered lost and a non-refundable lost fee of $25 plus a $125 replacement fee is charged
  • Items not returned or renewed within 30 days of their due date are considered lost and a $125 replacement fee is charged
  • Replacement fees on lost items are waived when the items are returned

Current periodicals include unbound issues of journals and magazines. These items may be borrowed for 14 days, with renewals up to a maximum loan period of 60 days. 

A maxiumum of 10 issues can be borrowed at one time.

Fines

  • $4 per day up to a maximum of $56
  • Periodicals not returned within 30 days of their due date are considered lost and a $125 replacement fee is charged
  • Replacement fees are waived when items considered lost are returned

Government publications are located on the 4th floor of the Bata Library in the Maps, Data and Government Information Centre (MaDGIC).

Circulating Government Publications can be borrowed for 14 days with unlimited renewals. These materials are subject to recall.

  • $4 per day on recalled material not returned within 7 days up to a maximum of $56
  • After 14 days, recalled items are considered lost and a replacement fee of $125 is charged
  • Items not returned or renewed within 30 days of their due date are considered lost and a replacement fee of $125 is charged

Fines

Some items borrowed from other libraries, when not returned on time, will result in overdue fines.  

  • $4 per day apply on items up to a maximum of $56
  • After 14 days, borrowed items are considered lost and a replacement fee of $125 is charged
  • Books not returned or renewed within 30 days of their due date are considered lost and a replacement fee of $125 is charged
  • Lost item charges are waived when lost items are returned and overdue fines will remain

Maps that are available for loan are identified on Omni as loanable. Map tubes are provided for safe transport of maps. Please return maps in their map tubes.

Eligible maps are available for 14 day loan periods with renewals up to a maximum loan period of 60 days.

A maximum of 50 maps may be borrowed at a time. 

Maps are eligible for recalls and requests.

  • $4 per day on recalled maps not returned within 7 days, up to a maximum of $56
  • Recalled maps not returned within 14 days are considered lost, and a non-refundable lost fee of $25 plus a $125 replacement fee are charged
  • Maps not returned or renewed within 30 days of their due date are considered lost and a replacement fee of $125 is charged

 

Media, including DVDs and CDs may be borrowed for 14 days with unlimited renewals on items that have not been recalled.

Fines

  • $10 per day on recalled media that is not returned within 7 days, up to a maximum of $100
  • Recalled media not returned within 14 days is considered lost and a replacement fee of $125 is charged
  • Media not returned or renewed within 30 days of its due date is considered lost and a replacement fee of $125 is charged

Items on Course Reserves are limited to 4 hour loan. Renewals are not permitted.

Fines

  • $5 per hour up to a maximum of $56
  • After 14 days, reserve items are considered lost and a $125 replacement fee is charged

Lost or damaged material must be repaired or replaced. Replacement fees are charged to the most recent borrower.

If you encounter material that is damaged, please report the damage before borrowing the item.

Lost Item Charges

  • $125 replacement fees are charged on lost items
  • Replacement fees are waived when lost material is returned to the library
