Review Documentation will consist of a Self-Study and Appendices. Academic Units will be responsible for preparing Review Documentation in advance of the site visit. Preparation will begin in the academic year prior to the site visit. All documentation will be submitted electronically
Appendices should be referenced and/or discussed in the Self-Study. Appendices will include:

Appendix A: From Previous Review - Final Assessment Report and Implementation Report
To be referenced in Self-Study: Section 4 - Program Quality Indicators
If degree program has been reviewed (under Trent's Institutional Quality Assurance Policy), the previous Final Assessment Report and Implementation Report should be included and referenced in the self-study.
Appendix B: Calendar Copy
The Office of the Provost will provide an appendix with full calendar copy to the Academic Unit in the Fall term of the year prior to the site visit.
Appendix C: Course Syllabuses
- Include one full year of syllabuses – should include most current copies
- Include all required and regularly-offered courses for the degree
- If the courses are cross-listed and owned by the program they should be included; if the courses are cross-listed and not owned then they should not be included unless the courses are part of the program degree requirements
- A cover page should provide summary of syllabuses, sorted by course number with course title
- The cover page and all course syllabuses should be combined into one pdf file with bookmarks for ease of use by external reviewers (contact Office of Provost if you require assistance)
Appendix D: Data Tables
To be referenced in Self-Study: Section 10 - Data Analysis and Student Experience
- Enrolment and Retention Data will be provided to ensure data is consistent university-wide
- Undergraduate data will be provided by the Office of Institutional Planning and Analysis/Institutional Research
- Graduate Data will be provided by the Office of Graduate Studies
- Programs should consider tracking graduates in order to gain information on Employment of Alum: six months after graduation and two years after graduation
- Data will be made available to the Program in May of the year prior to the site visit taking place to ensure data is as current as possible; data will be shared with the relevant Dean prior to distribution to the Program
- If data is not received in May, please contact the divisional Dean or the Office of the Provost
- The primary function of the Academic Unit(s) is to provide analysis of the data and incorporate this information into the Self-Study
Analysis of Data
When analyzing data, programs should interpret data and draw conclusions:
- Identify and comment on relationships, patterns and/or trends in data (e.g., significant increases and or decreases in enrolment)
- Discuss and highlight significant and interesting results
- Comment on barriers or limitations in data, e.g., students typically declare a major in Year 2, so a drop in enrolment from Year 1 to Year 2 does not necessarily reflect the success or quality of the degree program under review
- Comment on influences, variables, and/or effects that may have affected data (e.g., a new program introduced in a related field)
- Compare results to similar programs, within the university and provincially and/or nationally
- Based on results and interpretation, comment on probable solutions and/or revisions that could be implemented (e.g., increase marketing efforts to increase enrolment; curriculum revisions to address student concerns/issues raised in surveys)
Appendix E: Student Surveys
To be referenced in Self-Study: Section 10 - Data Analysis and Student Experience
Soliciting input from students can provide valuable insight and feedback to evaluate the quality and relevance of an existing program. Programs will be responsible for conducting two student surveys: one survey for alum and one survey for current students. Sample surveys are available which can be revised/personalized to reflect individual programs under review. Qualtrics is recommended for conducting surveys and can be found on MyTrent under Services.
Appendix F: Curriculum Vitae
To be referenced in Self-Study - Section 11 - Faculty Resources & Quality Indicators
- A CV template (modelled after SSHRC/NSERC grant) has been recommended and is available on the website; full CVs are required (not annual CV updates)
- Use of the template is not enforced, but CVs should be full CVs (rather than updates) and be similar in length
- A cover page should provide a summary of faculty listed alphabetically which includes faculty status, ie tenured, tenure-track, limited term
- The cover sheet and all CVs must be combined into one pdf file with bookmarks for ease of use by external reviewer (contact Office of Provost if you require assistance)
Appendix G: Library Statement of Support
To be referenced in Self-Study: Section 12.3 - Library Resources
- The Library Report will comment on resources, collections and curriculum resources
- The Office of the Provost will provide the University Librarian with a list of programs to be reviewed
- The Office of the Provost to contact University Library for report; reports will be sent to academic units in May of the year prior to site visit
- If additional Resources are available by the program, or in another area of the University, these should be mentioned (e.g., Education, Nursing, Indigenous Studies)
