English as a Second Language (ESL) Program Records
Legal Authority: Trent University Act 1963
Information Maintained: Completed registration forms for all new ESL students, payment information, application-related correspondence, names, country of origin, DOB, student number, class marks, test scores, notes on meetings with students, attendance records, copies of completed Placement (writing only) and Promotion Tests.
Individuals in Bank: New and returning ESL students
Uses: Preparation of statistical reports, program management and support
Users: Trent International office staff, Trent-ESL staff
Retention & Disposal: Names, country of origin, date of birth, student number, grades, and attendance records kept indefinitely; Placement (writing only) and Promotion Tests kept one term and then shredded; assignments and tests shredded one week after the end of term; all other information shredded/deleted upon completion of ESL program.
